Privacy Policy
Last updated: September 29, 2026
1. Overview
This policy explains what information MaxMail collects, how we use it, and the choices you have. MaxMail is a transactional email service for projects hosted on MaxNova.
2. Information we collect
Account information: your MaxNova sign-in identity, such as your name and email address, used to authenticate you.
Project and sending data: your project credential, sender and domain settings, message content, subject lines, recipient email addresses, suppression lists, and delivery events such as delivered, bounced, deferred, or opened.
If you choose to send through SendGrid, your SendGrid API key, which you provide so we can send on your behalf. It is stored server-side and never exposed to browsers.
For each domain that sends through MaxMail, a signing key we generate and keep server-side, and the results of checking your domain's DNS records.
Delivery reports about your messages, including bounces and spam complaints, and the resulting list of addresses we no longer send to for you.
Usage information: pages viewed and basic technical data such as browser type and approximate activity, collected through analytics.
3. How we use information
We use information to sign you in, queue and send messages, retry failed deliveries, manage suppressions, show delivery history, secure the service, prevent abuse, fix problems, and improve MaxMail. We do not sell your information or your recipients' information.
4. Service providers we share with
Mail you send through MaxMail is delivered from our own mail servers to the recipient's mail provider. If you connect SendGrid for a domain, SendGrid receives that domain's message content and recipient addresses to deliver your email, and returns delivery events. MaxNova provides accounts, hosting, and project databases. Our analytics provider receives usage data. These providers process information under their own terms and privacy policies.
We may also disclose information if required by law or to protect the rights, safety, and security of users and the service.
5. Cookies and analytics
We use cookies or similar storage to keep you signed in and to measure how MaxMail is used. You can block or clear cookies in your browser, though some features may stop working.
For analytics, your browser's local storage holds a session entry (a key ending in :session) containing a random session ID and the time of your last activity. It groups your page views and events into a single visit, and you can clear it at any time from your browser's site data settings.
6. Recipients' data
You are the controller of the recipient data you send us, and we process it on your behalf to operate the service. You are responsible for having a lawful basis to email your recipients and for responding to their requests. We can help you remove or suppress a recipient on request.
7. Retention
We keep message records and delivery events only as long as needed to provide the service and for reasonable troubleshooting and legal purposes, then delete or anonymize them. Suppression entries are kept so that blocked recipients are not emailed again.
8. Security
We protect data with encrypted connections, restricted access, and server-side storage of secrets. No system is perfectly secure, so we cannot guarantee absolute security. Tell us promptly if you suspect a problem.
9. Your choices and rights
Depending on where you live, you may have the right to access, correct, delete, or export your information, or to object to certain processing. To make a request, contact us using the details below. You can also remove your project's data by ending your use of MaxMail.
10. Children
MaxMail is not directed to children under 13, and we do not knowingly collect their information.
11. International transfers
Your information may be processed in countries other than your own, including by our service providers. We take reasonable steps to protect it wherever it is handled.
12. Changes to this policy
We may update this policy from time to time. The updated version will be posted on this page with a new date.
